Responsibilities & Requirements

The KPN Onboarding Coordinator supports the Onboarding Manager in all aspects of new provider onboarding and acclimation to Kettering Physician Network. Duties include but are not limited to:

 

Primary Job Duties:

 

  • Coordinates welcome communications to new providers
  • Coordinates all activities to assist provider onboarding with pre-defined cadence of correspondence to include but not limited to Welcome packet, follow-up on required documents, providers questions, etc.
  • Coordinates receipt of appropriate vaccination records and ensures Employee Health receives
  • Assists new providers in navigating hospital privileging, payor enrollment s, marketing, and OARRS registration. Validates all documentation have been received for payer enrollment
  • Facilities communication and documentation with Central Credentialing Office
  • Works closely with marketing to ensure lab coat orders are placed and correspondence between onboarding and marketing occurs for bio cards and professional photos
  • Support Onboarding Manager with practice acquisitions process and procedures
  • Builds trusting relationships with new provider by being available and responding quickly to provider questions and concerns
  • Maintains pipeline document for communications to key stakeholders, i.e. Human Resources, MSOW, Credentialing, Marketing, etc.
  • Leads weekly onboarding meeting, providing detailed updates and communicating changes with team
  • Coordinates and manages Master List (Excel) for KPN providers, ensuring updated rosters and practice information
  • Coordinates onboarding, offboarding and automation tickets via Service Now to facilitate physician transitions (including Action Items)
  • Coordinates completion of provider offboarding forms to share with stakeholders
  • Coordinates with Director, Administrator, and Practice Manager to facilitate operational integration into the practice i.e.; Epic training, Coding Education, Orientation, Special Needs, Communications, etc.
  • Coordinates receipt of supervision agreement files for APRN’s and PA’s. Facilitates SCA renewal process in conjunction with APRN director
  • Coordinates collection of APRN collaborating agreements for new providers
  • Responsible for updating distribution lists (DL) in Outlook
  • Sends surveys to recently onboarded providers for input and collects feedback for process improvement
  • Coordinates and maintains provider and specialty location counts for KPN Leadership reports bi-annually

Responsible for updating provider and practice data to KPN leadership (quarterly or bi-annually)

Preferred Qualifications

Associates Degree or equivalent in healthcare related experience may be considered

  • Exceptional customer service and organizational skills
  • Proven record of strong relationship management
  • Exceptional computer skills, including excel, PowerPoint, OneNote, and Word
  • Exceptional coordination skills with attention to detail a must

Ability to work in a fast-paced and quickly changing environment a must

3-5+ years in healthcare preferred

Experience working in a medical practice preferred

Must be proficient in Microsoft Suite, particularly excel

Must be able to multi-task and work in a fast paced environment
