Preferred Qualifications

The Campus Visit Coordinator serves as the first point of contact for prospective students, families, and guests visiting Kettering College. This role combines the responsibilities of coordinating all campus visits while also providing a warm and welcoming experience for anyone who comes into the college. The ideal candidate is both highly organized and friendly, ensuring that every guest feels welcomed while maintaining efficient scheduling and administrative processes that directly support student recruitment and enrollment goals.

 

Essential Duties & Responsibilities

  • Coordinate all campus-visit requests for both graduate and undergraduate programs:
    • Visits include individual and group visits, appointments, and on-campus recruitment events.
    • Tasks include managing scheduling, visitor communication, and confirmation.
    • Prepare visit itineraries, materials, and coordinate campus tours.
    • Ensure hospitality and follow-up after visits.
  • Track visitor activity and assist with guest satisfaction surveys; provide reporting on visit numbers and outcomes.
  • Collaborate with Admissions Counselors to streamline visit logistics.
  • Manage the front desk of the college which includes serving as primary receptionist duties and the scheduling and managing of student workers who have secondary receptionist roles. Tasks include:
    • Greeting visitors
    • Answer and route phone calls
    • Respond to general inquiries
    • Provide wayfinding
  • Manage all incoming and outgoing mail for student residents and employees.
  • Maintain a welcoming, professional entrance area (signage, lobby appearance, visitor materials).
  • Supervise, schedule, and coordinate student workers and volunteers assisting with campus visits and working the front desk.

Key Responsibilities by area:

Campus Visit Coordination

  • Plan, schedule, and confirm individual campus tours, group visits, and admission appointments.
  • Partner with admissions counselors, faculty, and staff to design high-quality visit experiences tailored to prospective students.
  • Train student workers and collaborate with the Admissions team on conducting excellent campus tours.
  • Manage visit logistics including room reservations, tour guide scheduling, and hospitality arrangements.
  • Track visit attendance and outcomes, including survey feedback and enrollment progression, to measure the impact of visits on recruitment.
  • Provide post-visit follow-up and communications to reinforce the positive experience.
  • Manage budget for campus visits.

Front Desk Administration

  • Serve as the welcoming face of Kettering College, greeting all visitors with professionalism, warmth, and a helpful attitude.
  • Answer incoming calls, respond to inquiries, and route individuals to the appropriate offices or staff members.
  • Maintain front desk organization, supplies, and guest-facing materials.
  • Provide general administrative support to the admissions team, including data entry, scheduling, and correspondence.
  • Ensure coverage during business hours, reducing reliance on other staff and preserving institutional efficiency.

Job Requirements

  • Associate degree required; bachelor’s degree preferred.
  • Prior experience in customer service, event planning, higher education, or administrative support preferred.
  • Exceptional organizational and multitasking skills.
  • Strong interpersonal and communication skills; ability to engage with students, families, and colleagues in a welcoming and professional manner.
  • Proficiency with Microsoft Office and ability to learn and use software systems (CRM, SIS, LMS, etc).
  • Ability to handle confidential information with discretion.

Preferred Qualifications

  • Prior higher education and/or student services experience.
  • Supervisory or scheduling experience.
  • Familiarity CRM or SIS/ERP software.
