Responsibilities & Requirements

The Medical Office Assistant supports patient care, safety, and access by performing administrative tasks in a medical office or outpatient setting. This role ensures efficient front office operations, accurate recordkeeping, and a welcoming environment for patients and visitors. Performs other duties as assigned. All job responsibilities are to be carried out in alignment with Kettering Health's mission, vision, values, and B Safe program.

 

Required Education 

  • High school diploma or equivalent.

  • Basic computer proficiency, including use of electronic health record (EHR) systems
  • Strong written and verbal communication
  • Attention to detail

  • Basic understanding of medical terminology 
  • Ability to maintain confidentiality and comply with HIPAA regulations 

Essential Functions 

  • Greet and check in patients and visitors, ensuring a professional and welcoming environment.
  • Schedule, confirm, and coordinate patient appointments using electronic scheduling systems.
  • Collect and verify patient demographic, insurance, and billing information; process co-payments and assist with billing inquiries.
  • Answer and direct incoming phone calls, responding to patient questions or routing calls appropriately.
  • Assist patients in completing intake forms and consent documents, ensuring accuracy and completeness. 
  • Maintain and update patient records in the electronic health record (EHR) system, scanning and uploading documents as needed. 
  • Verify insurance eligibility and benefits, and assist with processing insurance claims.
  • Order and monitor inventory of office and medical supplies, notifying appropriate staff of low stock. 
  • Support compliance with HIPAA, OSHA, infection control, and organizational safety standards. 
  • Participate in team meetings and quality improvement activities as requested.

Preferred Qualifications

  • Completion of a medical office administration program from an accredited institution.
  • One year of experience in a medical office, outpatient clinic, or healthcare administrative support role.
